Customer complaint register format in Excel for a service business
Complaints and enquiries. By Aman Dobriyal. Updated .
A customer complaint register format in Excel needs nine columns and three rules. The columns are the easy part. The rules are what stop it becoming a list nobody opens.
Here are both, and then where a spreadsheet stops being enough for a business that installs, repairs or services things.
The customer complaint register format, column by column
- Complaint number. Start at 1 and never reuse one.
- Date and time received.
- Customer name, phone, and address or site.
- Product or job: what you sold or installed, with the serial number if it has one.
- The complaint, in the customer's words. One line.
- Under warranty: yes, no, or to check.
- Assigned to. One person's name, never a team.
- Status: open, in progress, resolved, closed.
- Date closed, and what was done.
One optional column earns its place: how the complaint reached you (call, WhatsApp, at the counter). After a month it shows where your customers really are.
Three rules that keep it honest
- Number first. The complaint gets its number before anything else happens, and the customer is told that number. A customer holding a number waits more patiently than one holding a promise.
- One owner per row. When two people are responsible, each assumes the other one called.
- Someone reads the open rows every morning, oldest first. The oldest open complaint is the first call of the day.
Small things that make the sheet work harder
- Give Status a drop-down list (Data, then Data Validation, then List). Otherwise you get done, Done, completed and ok, and no filter works.
- Add a Days open column: =TODAY() minus the date received, for rows that are not closed.
- Use conditional formatting to turn Days open red past the number of days you decide is too long.
- Keep it as one shared online sheet, not a file copied between computers. Two copies of a complaint register is worse than none.
Where the Excel register breaks
- Complaints arrive on WhatsApp, on whichever number the customer happens to have. Someone has to retype each one into the sheet. On a busy day they don't.
- The technician is on site with a phone. He will not open a spreadsheet to update a row, so the status is always a day behind.
- The photo of the fault stays in a chat. The row has no picture.
- A row shows where a complaint stands now. It doesn't show who said what, and when.
- When the customer calls back, whoever answers has to find the row before they can say anything useful.
If you get a few complaints a week, none of that matters and the sheet is enough. I would not sell you software for it.
What software changes
In the helpdesk I build, every complaint becomes a ticket with a number, a photo and one person responsible. A WhatsApp bot can raise it: it asks what is wrong, asks about warranty, takes a photo and gives the customer a ticket number, so nobody retypes a chat. Technicians update their own tickets from the phone. Each ticket keeps a timeline, and one screen shows what is open and what nobody has picked up.
What it doesn't do: fix the fault. A person still has to go and do that. It removes the retyping and the question of who was handling it. It also needs an internet connection to save.
Short answers
What columns should a customer complaint register have?
Complaint number, date received, customer and phone, the product or job, the complaint in the customer's words, warranty status, the one person it is assigned to, status, and the date and action when it was closed.
How do I track open complaints in Excel?
Give Status a drop-down of open, in progress, resolved and closed. Filter out the closed rows and sort by date received, oldest first. Add a days-open column using =TODAY() minus the received date so old complaints stand out.
When should I move from an Excel complaint register to software?
When complaints arrive on WhatsApp faster than someone can retype them, when technicians need to update jobs from site, or when customers call back and nobody can find the row. Below that, the sheet does the job.
That is what my helpdesk and CRM product does: complaints become numbered tickets, starting from the customer's WhatsApp message. If the register is falling behind the chats, see how it works, or leave your number and I'll call you back. Helpdesk and CRM with WhatsApp AI. Leave your number for a call back.
