WhatsApp complaint management system for a small business
Complaints and enquiries. By Aman Dobriyal. Updated .
A WhatsApp complaint management system does not have to start with a bot. It starts with one number, one person watching it, and the habit of giving every complaint a number of its own.
You can set most of that up today with the free WhatsApp Business app. Here is how, where the app runs out, and what a bot really adds.
First, one number for complaints
Complaints go to whichever phone the customer has saved: the owner's, the salesman's, the technician's. That is the real problem, and no app fixes it for you.
Pick one number. Print it on the bill, on the warranty card, and on a sticker on whatever you install. When a customer still messages a technician directly, he replies with that number and forwards the message to it.
Set up the free WhatsApp Business app
The Business app has four tools worth ten minutes. Menus move between versions. Look under Business tools.
- Away message, for outside working hours. Say when you will reply and what to send: name, address, what was installed, what is wrong, and a photo.
- Greeting message, for someone writing to you for the first time.
- Quick replies. Save the text you type ten times a day, such as that list of what to send.
- Labels. Make four: New complaint, Assigned, Waiting for part, Resolved. A label is your status column.
A WhatsApp complaint management system run by hand
- Every new complaint gets the next number from your complaint register. Reply with it: your complaint number is 214.
- Ask for the same things every time, using the quick reply.
- Label the chat New complaint.
- Forward the details to the technician with the number on the first line. Change the label to Assigned.
- When he is done he sends a photo. You tell the customer from the main number, close the row in the register and change the label to Resolved.
- Every morning, open the New complaint and Assigned labels and read them oldest first.
That routine, kept up daily, is a working system for a business with a handful of complaints a day.
Where the app runs out
- It is one inbox. You can open it on more than one device, but a chat can't be given to a person, and you can't see who replied.
- The away message says the same thing to everyone. It can't ask what is wrong or hand out a number.
- The register and the chat are two places. The complaint number is typed by hand in both, and sooner or later the two disagree.
- Labels are not reports. They can't tell you how many complaints came this month or how long they stayed open.
- The conversations live on one phone and its backup.
What a bot changes, and what it needs
A bot does not run on the app on your phone. It runs on WhatsApp's business platform, which is a separate thing: the number has to be registered with Meta, usually through a provider, and Meta charges for some kinds of messages. Ask about that cost before you start.
In the helpdesk I build, the support bot asks what is wrong, asks about warranty, asks for a photo and gives the customer a ticket number. You set the questions it asks. It answers outside shop hours too, in English or Hindi. The ticket is filed by the bot itself, ready to assign to a technician, and every conversation sits in one inbox instead of on personal phones. You can take over any chat with one tap.
What it doesn't do: diagnose a fault or calm down an angry customer. It handles the first two minutes of a complaint. The one-tap handover to a person matters more than the script.
Short answers
Can I manage customer complaints on WhatsApp without software?
Yes, up to a point. Use one number for complaints, the free WhatsApp Business app's away message, quick replies and labels, and a register that gives every complaint a number. It works for a handful of complaints a day when one person watches the number.
What is the difference between the WhatsApp Business app and a WhatsApp bot?
The app runs on a phone and replies by itself only with a fixed greeting or away message. A bot runs on WhatsApp's business platform, which is set up separately, and can ask questions, collect a photo and file a ticket with a number.
Will customers answer a bot?
Most will answer three or four short questions if they get a complaint number at the end and can reach a person when they ask for one. Keep the script short, and make the handover to a person easy.
