Billing Software for Pharmacies and Medical Stores
Pharmacies and medical stores. This is not a ready-made pharmacy package. It is the billing and stock system I build for shops, with the parts a pharmacy specifically needs, batch and expiry tracking and a Schedule H register, built to order as part of setting it up for you. A pharmacy has legal record-keeping that a general shop does not. I am upfront that this does not exist yet and would be built and checked carefully before you rely on it.
What makes this trade different
- A medicine is sold with a batch number and expiry date, and billing the wrong batch wastes stock that was still good.
- The earliest-expiring stock needs to sell first, or it becomes a write-off on the shelf.
- Schedule H medicines have to be recorded with the patient and doctor's details at the point of sale, by law.
- A regular customer with a running account or insurance claim needs clean records.
- Stock across many small-margin items needs to stay accurate without slowing the counter.
Ready today
- The billing counter. Scan a barcode or type the item code, take cash, UPI, card, bank or credit, and print.
- GST invoices. Tax invoices with HSN codes, printed on A5 or A4, with your business and bank details set up the way you want them.
- Supplier bills read from a PDF. A supplier's bill can be typed in or read from their PDF, updating stock and the purchase rate together.
- A customer's running account. A customer's history, what they owe and what they have paid sit on one screen.
Built for your pharmacies and medical stores
These do not exist yet. They are built around how your business runs, as part of setting the system up.
- Batch and expiry tracking. I set up batch numbers and expiry dates on every medicine, so billing pulls from the earliest-expiring batch first and a near-expiry list warns you before stock is written off.
- Schedule H / H1 register. I build the register the Drugs and Cosmetics Rules require for Schedule H and H1 medicines, recording the patient, the prescribing doctor and the quantity against every such sale.
What it doesn't do
- Nothing here tracks batch, expiry or Schedule H records today. This is a legal record-keeping requirement, not a nice-to-have, and I would scope and test it carefully with you before it goes live.
- Billing needs an internet connection. There is no offline billing today; a phone hotspot is enough to carry on.
- The billing counter is made for an iPad or a computer.
Questions
Does it already track batch and expiry?
Not as a ready feature today. I build batch and expiry tracking as part of setting up a pharmacy, with a near-expiry list and billing from the oldest batch first.
Does it keep the Schedule H register?
Not yet. Building that register correctly, with the patient, doctor and quantity recorded against each sale, is part of setting the system up for a pharmacy, and I would check it carefully against the rule before you rely on it.
Can it bill a general medical sale today?
Yes. Barcode billing, GST invoices, purchases and customer accounts all work today without extra building.
Who helps when something breaks?
I do. You message me, I look at it, and I fix it. I don't disappear after deploy.
Billing, GST invoices and purchases work today. Batch and expiry tracking and a Schedule H register get built and tested carefully around your pharmacy before it goes live. Tell me how your counter runs and I will tell you honestly what that setup involves. Retail POS, stock and GST billing.
