Billing Software for Stationery and Gift Shops
Stationery and gift shops. A stationery or gift shop runs on volume and variety: hundreds of small items, a rush around exam and festival season, and the odd corporate order for fifty of the same gift. This is the billing and stock system I built for a home furnishing retailer, written up for stationery and gift shops, where the counter has to stay fast and the stock list stays long.
What makes this trade different
- Hundreds of small SKUs have to be found and billed quickly, with a queue waiting.
- Stock swings hard with the season: exam time, festival time, back to school, then quiet.
- A corporate or bulk gifting order needs a quotation with terms, not a walk-in bill.
- A coupon or a festive offer needs to apply correctly without the counter slowing down.
- Knowing what has stopped selling matters as much as knowing what is running low.
How it handles each one
- A fast counter. Scan a barcode or type the item code, take cash, UPI, card, bank or credit, and print, without the queue stalling over a search.
- Barcode tags for a long stock list. Price tags print with MRP, any discount and offer already on them, in the label layout and across-the-page count you set.
- Quotations for bulk and corporate orders. Build a quotation from the catalogue with your own discount and terms. It tracks as Draft, Sent, Accepted or Expired, and an accepted one turns into a bill.
- Coupons and offers. Flat or percent coupons, with category exclusions and caps, apply at the counter without slowing the bill down.
- What is running low, and what is not selling. Low stock shows grouped by category ahead of a seasonal rush, and a separate list shows what has not sold, so dead stock gets noticed before it eats shelf space.
- The day's numbers without waiting for the accountant. Today's sales, payments by cash, UPI, card and bank, and stock alerts sit on one dashboard, with every figure tapping through to the bills behind it.
What it doesn't do
- It does not design or print custom gift items itself, such as personalised engraving or printing. It bills and tracks the stock around that work, not the work itself.
- Billing needs an internet connection. There is no offline billing today; a phone hotspot is enough to carry on.
- The billing counter is made for an iPad or a computer. Staff get a simple phone screen to look up stock, not to bill from.
Questions
Can it keep up with a busy counter and a lot of small items?
Yes. Billing is built to scan or search and print quickly, and a code that matches nothing is refused rather than guessed at, so a long stock list does not slow the queue down.
Can it handle a bulk or corporate gifting order?
Yes. A quotation can be built from the catalogue with your own discount and terms, and it turns into a bill once accepted.
Can my old data come in?
Yes. Your item list, customers and opening stock are loaded for you during setup from whatever export your current software gives, and I check the totals with you before you start billing.
Can it print the bills I already use?
Yes. It prints GST invoices on A5 and A4, delivery challans, estimates and quotations, and you choose what shows on the bill.
